Privacy Policy

This policy explains what Writeoff collects, why, who we share it with, and the controls you have. It covers our website, our applications, and our text messaging program.
1. Who we are
WriteOff Inc. (“Writeoff,” “we,” “us”) provides AI-assisted bookkeeping and tax-tracking software. Our address is 611 South Dupont Hwy, Suite 102, Dover, DE 19901, US. You can reach us at privacy@writeoff.tax.
Writeoff is currently in beta. The service and this policy may change as the product develops. We will post any material change on this page and update the effective date above.
2. Information we collect
We collect the categories below. We collect them from you directly, from your use of the service, and from the financial institutions and accounting systems you choose to connect.

We do not collect biometric data, precise geolocation, or information about your race, religion, health, politics, or sexual orientation.
3. How we share information
We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We disclose the categories above only to the following:
- Service providers who run parts of the product on our behalf under contract: cloud hosting and database, bank-data aggregation, document and receipt processing, model providers that power the assistant, payment processing, email delivery, telephony and SMS delivery, error monitoring, and customer support tooling. They may use the data only to perform that service for us.
- People you direct us to share with, such as an accountant or bookkeeper you invite to your account, or an accounting system you connect.
- Legal and safety recipients, when we are required by law, subpoena, or court order, or where necessary to investigate fraud or protect the rights and safety of our users.
- A successor entity, if Writeoff is involved in a merger, acquisition, or sale of assets. We will notify you before your information becomes subject to a different privacy policy.
4. Mobile information and text messaging
All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
In plain terms: your mobile phone number and your consent to be texted are not sold, rented, licensed, or shared with anyone for their own marketing or lead-generation purposes, and they are not part of any data sharing described in Section 3 above. The only parties that ever touch that data are the telecommunications providers who physically deliver the message on our behalf, and they may use it solely for message delivery.
Text messaging is optional. You may use Writeoff without ever providing a mobile number. If you do opt in:
- Message frequency varies and depends on how you use the service. Most users receive fewer than 20 messages per month.
- Writeoff does not charge for messages. Message and data rates may apply.
- You can revoke consent at any time by replying STOP (or QUIT, END, CANCEL, UNSUBSCRIBE, REVOKE, or OPT OUT) to any message. Reply HELP for help.
- Carriers are not liable for delayed or undelivered messages.
The content of SMS and MMS you exchange with the Writeoff assistant, including photos of receipts, is treated like any other content you put into the product: stored in your account, processed to give you the result you asked for, and covered by the retention and deletion rules below. 5. How the assistant uses your data
The Writeoff assistant sends the relevant portion of your data to third-party model providers to produce categorizations, answers, and recommendations. We contract with those providers on terms that prohibit them from using your content to train their general-purpose models. We do not train models on your financial data for the benefit of other customers.
The assistant can make mistakes. It is a bookkeeping aid, not a licensed tax professional, and its output is not tax or legal advice.
6. Security
We encrypt data in transit with TLS and at rest. Access to production data is limited to personnel who need it, logged, and protected by multi-factor authentication. Bank credentials are handled by our aggregation provider and are never stored on our servers. No system is perfectly secure, and we do not claim otherwise. Report a suspected vulnerability to support@writeoff.tax.
7. Retention
We keep your account data for as long as your account is open. After you close your account we delete or de-identify it within 90 days, except where we must keep it longer to comply with law, resolve disputes, or enforce agreements. Financial records are commonly subject to multi-year retention requirements, so we recommend exporting your data before you close the account.
Consent records are the exception. Where you have opted in to messaging, we retain a record of that consent, including the wording you agreed to and the date, for as long as required to demonstrate compliance with telecommunications regulations, and for a reasonable period after you opt out.
8. Your rights and choices
- Access and portability. Export your transactions, receipts, and reports to CSV from inside the product at any time.
- Correction. Edit your account details in settings, or email us.
- Deletion. Request deletion of your account and data by emailing privacy@writeoff.tax.
- Marketing email. Unsubscribe from any marketing email. We will still send transactional messages about your account.
- Text messages. Reply STOP to any message.
Residents of California, Colorado, Connecticut, Virginia, and other states with comprehensive privacy laws have the right to know, delete, correct, and to opt out of sale or targeted advertising. We do not sell or target-advertise, but you may still exercise the other rights by emailing privacy@writeoff.tax. We will not discriminate against you for exercising them. You may designate an authorized agent to make a request on your behalf; we may ask for proof of that authorization.
9. Children
Writeoff is a business tool and is not directed to anyone under 18. We do not knowingly collect information from children. If you believe a child has provided us information, email privacy@writeoff.tax and we will delete it.
10. Where we operate
Writeoff is operated from the United States and our service providers are primarily located in the United States. If you access the service from elsewhere, you are transferring your information to the United States.
11. Changes to this policy
We will post revisions here and update the effective date. If a change materially reduces your rights, we will notify you by email or in the product before it takes effect.
